Work Permit

System Overview

The Work Permit module controls and documents the authorization process for performing jobs linked to Work Orders. It ensures that only authorized personnel can carry out specific tasks, all safety, compliance, and risk checks are completed before work begins, and approvals are traceable and auditable.

Within the CAFM platform, Work Permits act as an additional control layer on top of Work Orders. Before a technician can start certain types of work (e.g., high-risk maintenance, confined space entry, hot work), they must complete the configured permit form and obtain approval from designated reviewers such as a Supervisor, Safety Officer, or HSE Manager.

Quick Start Guide

  • Identify Jobs That Require a Work Permit
    Decide which Work Orders or job categories (e.g., electrical work, working at height, hot work) must be gated by a permit. Align this list with your HSE policies and regulatory requirements.

  • Define the Permit Form & Questions
    Configure a Work Permit Template with required checks such as PPE readiness, isolation/lockout procedures, gas detection, and ventilation checks.

  • Set Roles for Approvals
    Define who can fill the permit (e.g., Technician or Supervisor) and who can approve or reject it (e.g., Safety Officer, HSE Manager, Facility Manager). Ensure these users have the correct roles/permissions.

  • Link Work Permits to Work Orders
    Enable the permit requirement for selected Work Order types or service categories.

  • Review Compliance & Records
    Verify that permit answers and decisions are stored with the Work Order and that permit status (Accepted / Pending / Rejected) is clearly visible.

How It Works

High-Level Workflow

1. Permit Required

Work Order is created and identified as requiring a Work Permit (attached to the respective work order).

2. Form Completion

Responsible person opens the Work Permit form and answers all required questions/checks.

3. Submit for Review

Completed permit is submitted to the designated approver (Safety Officer or Supervisor).

4. Review & Decision

Approver reviews responses and either approves or rejects with comments.

5. Work Proceeds

Work Order can only progress once the permit is approved (e.g., move to "In Progress").

6. Audit Trail

All actions are recorded for compliance reviews and incident investigations.

The Work Permit module defines who is allowed to work, who can review, and who approves each job. Every approval or rejection is logged against a specific user, time, and related Work Order.

The permit process supports compliance with internal HSE policies, industry standards, and regulatory requirements. Incomplete or rejected permits should block work from starting until all conditions are met.

Consistency Across Sites

Standardized permit templates help ensure that the same safety logic is applied across all facilities and teams. Local variations can be added where necessary while keeping a common baseline.

Operational Integration

Work Permits are tightly integrated with Work Orders. Approvals influence Work Order status and help ensure work does not proceed without documented authorization.
